Product overview
With ID Register, you can register and edit user information on your computer
instead of doing it on the printer operation panel.
Connect an ID card reader to your computer to manage ID card information that
can be used to control user access to one or more printers.
To export the ID card list (*.icr) from the printer, contact a service representative.
Documentation
This guide helps you install and use ID Register, and is intended for system administrators.
Conventions
The following conventions may be used in this guide:

Bold text is used for menu items and buttons

Screen, text box, and drop-down menu titles are spelled and punctuated exactly as they are displayed on the screen

Text or commands that a user enters are displayed as text in a different font or in a text box as shown in these examples:

This application requires Microsoft .NET Framework 4.0 or later, and can be installed in the following operating systems:
- Windows 11
- Windows 10
- Windows 8.1
- Windows Server 2019
- Windows Server 2016
- Windows Server 2012 R2
- Windows Server 2012
Operation flow
Number | Item | Description |

1 | ID card | User ID card used for authentication. |
2 | ID card reader | Device used to read ID card information, and send the |
information to the ID Register application.
Connect this device to the USB port of the computer.
This device does not support writing to the ID card.
3| Administrator’s computer| Install the ID Register and KYOCERA Net Viewer
applications on this computer.
4| ID Register| This application is used for reading and managing ID card
information received from the ID card reader. Make sure that this application
is installed in the administrator’s computer.
5| KYOCERA Net Viewer| This application is used for managing the print status
on the computer, and send ID card list (.icr) to the printer. Make sure that
this application is installed in the administrator’s computer. For more
information, see the KYOCERA Net Viewer User Guide.
6| Machine| From the printer, you can manage the User Login settings by
referring to the user information registered with ID Register.
To export the ID card list (.icr) from the printer, contact a service
representative.
Installing the application
- Make sure that you have a copy of the installation package saved on your computer.
- In Windows operating systems, you must have administrator rights to install the application.

In your computer, browse to the installation package.
If necessary, extract the *.zip package. -
In the installation package, run setup.exe.

Review or modify the destination folder, then select Next.

Review the settings, then select Install.
To modify the settings, select Back. -
After installation finishes, select Finish.
You can also select the option to start the application after exiting the installer.
Starting the application
Accessing the application
In Windows operating systems, you must have administrator rights to access the application.
- From the Start menu, select ID Register.
- If required, enter the administrator password, and select OK.
The main dialog box is displayed. The following options are available:

About| Show additional information about the application.
Changing the administrator password
- In the main dialog box, select Password.
- Type and confirm the new password.
- Select OK.
Managing ID card list
Creating or editing an ID card list

In the main dialog box, select File, and do either of the following:
• To create a user list, select New.
• To edit a user list, select Open, browse to and select the ID card list file, and select Edit. -
In the Users dialog box, manage the user information.

3| Properties| Register ID card information and modify printer permissions for
the user.
4| Search| Search specific users.
5| Close| Close the User dialog box.
3. Select Close > OK.
For some printers, if the admin user is not added, then the admin user from
the printer is deleted after importing the ID card list (.icr) file. By
default, when creating an ID card list (.icr), the admin user is not added.
Make sure to add the admin user when creating an ID card list (*.icr).
- In the main dialog box of the application, select File, and do either of the following:
• Select Save to save the updated ID card list (*.icr) file.
If there are changes to the ID card information in the user list, then the existing information is updated.
• Select Save as to save the updated user list to another ID card list file.
Adding a user
Depending on the printer, the maximum number of users you can add may vary.

In the Users dialog box, select Add user.

Enter the login user name, user name, and password for the user.

If necessary, do the following:
• Enter additional information for the user.
• Select Allow administrator access for the user to have administrator access. -
Select Advanced to register ID card information and modify printer permissions for the user.
• Depending on the printer, the available printer permissions may vary.
• For more information on registering ID card information, see Registering ID card information. -
Select OK to close the Advanced dialog box.

Select OK to close the Edit user dialog box. The user is added.
Registering ID card information
Make sure that the ID card reader is connected to your computer and is working properly.

In the Users dialog box, select a user where you want to register the ID card information.

Select the Properties button or double-click the selected user.

Select Advanced.

Do either of the following:
For ID card readers manufactured by rf IDEAS® and ELATEC, do the following:
a. Select the ID card information text box.
b. Hold the ID card over the card reader.
For other ID card readers, do the following:
a. Hold the ID card over the card reader.
b. In ID card information, select Read.
In the ID card information text box, you can manually enter the ID card number. Depending on the card type, the length of the ID card number may vary. -
Select OK to close the Advanced dialog box.

Select OK to close the Edit user dialog box. The user ID card information is updated.

Select Close > OK.
For some printers, if the admin user is not added, then the admin user from the printer is deleted after importing the ID card list (.icr) file. By default, when creating an ID card list (.icr), the admin user is not added. Make sure to add the admin user when creating an ID card list (*.icr). -
In the main dialog box of the application, select File, and do either of the following:
• Select Save to save the updated user list to the current ID card list (.icr) file.
If there are changes to the ID card information in the user list, then the existing information is updated.
• Select Save as to save the updated user list to another ID card list (.icr) file.
Importing the ID card list to the printer
Use the KYOCERA Net Viewer application to import the ID card list (*.icr) file to the printer.
- Make sure that Card Authentication Kit is installed in the printer. For more information, see the Card Authentication Kit(B) Operation Guide.
- Make sure that KYOCERA Net Viewer is installed in the administrator’s computer.
- Do not use the printer while importing the ID card list (*.icr) file.
- Importing the ID card list (*.icr) file overwrites the User Login information in the printer.
- For some printers, if the ID card list (.icr) file does not include the admin user, then the admin user from the printer is deleted. By default, when creating an ID card list (.icr), the admin user is not added. Make sure to add the admin user when creating an ID card list (*.icr).

From the Start menu, select KYOCERA Net Viewer.

From any device view, select one or more printers.
Make sure to select the same printer models that the ID card list (*.icr) was created for. -
Do either of the following:
• Select Device > Advanced > TCP/IP Send Data.
• Right-click the selected printers, and select Advanced > TCP/IP Send Data. -
In Data, select File > Browse, then browse to and select the ID card list (*.icr) file.

Select Send.
